Employment Hero

Employment Hero Payroll is where your staff clock on, where their timesheets are approved, and where their bank details are held. Connect it to a venue and those hours arrive in Tip Sheet as they happen, so tips are shared against what payroll already has — nothing to export or re-key.

What comes across

  • Shifts — start, finish and total hours for every shift at the locations you tick, converted into the venue's time zone. A shift counts as approved when Employment Hero has it as Approved or Processed, and discarded when it is Rejected. Shifts with no start or finish time are skipped.
  • Breaks — every break on the timesheet, as a paid break or a meal break depending on how it is set in Employment Hero.
  • Staff — created the first time one of their timesheets arrives, from their Employment Hero name, email and mobile, with their Employment Hero employee ID as the staff code. They join as Incoming, with the venue's waiting period counted from that first shift.
  • Bank details — BSB, account number and account name, from the first of the person's Employment Hero bank accounts with any of them filled in (Tip Sheet looks at up to three). Marked Imported with the date it came across. If Employment Hero holds nothing it is marked Missing, and you can ask the person for their details through onboarding.
  • Businesses, locations and work types — read from Employment Hero so you can choose what applies to this venue. They decide what comes across; they do not become Tip Sheet departments.

Rosters, pay rates, leave balances and pay runs do not come across. Staff created from an Employment Hero timesheet arrive with no department set — give each one a department under Staff, or their hours will not land in a department-based split.

Before you start

Employment Hero is connected in the admin view, under a venue's Integrations tab. The hours it brings across show up in the venue view, on the daily and weekly tip sheets.

  • You need permission to manage third-party integrations for the venue, or you can see the integration tiles but not use them.
  • The venue has to be able to take a timesheet system. Frontline venues always can; a dependent venue has to be set up for it. Otherwise the tab reads Not applicable for this venue.
  • The venue needs a time zone set. Shift times are converted into it, and imports fail without it.
  • A venue can have one timesheet system at a time. If Deputy, Tanda, Roubler or another one is connected here, Connect is switched off and reads Only one integration is possible at a time. Disconnect it first.
  • Nobody at Employment Hero has to do anything — you approve the connection yourself while signing in. Use an account that can see the business you want, and make sure that business already has its locations and work types set up. Those are what you pick from next.

Connecting it

1. Open the venue's Integrations tab

In the admin view, go to Venues, open the venue, and select the Integrations tab. Employment Hero sits in the Time Sheet Integration section.

2. Select Connect

Tip Sheet sends you to Employment Hero.

3. Sign in and approve Tip Sheet

Sign in with an account that can see the business you want, and approve the request. Employment Hero sends you back to Tip Sheet.

4. Choose the business

Manage Integration opens by itself. If your sign-in reaches one business, Tip Sheet picks it and moves straight on to locations. If it reaches more than one, choose the one this venue belongs to and select Save.

The business is fixed once saved

A venue's Employment Hero business cannot be changed afterwards — trying returns Business/Organisation cannot be changed. To move a venue to a different business, disconnect and connect again.

Choose what's included

With the business set, the box shows two tabs: Locations and Work Types.

Locations

Tick the Employment Hero locations whose shifts belong to this venue. They appear as the tree they form in Employment Hero, so you can open a parent to reach the sites under it. Only shifts at a ticked location come across.

  • Tick at least one location. Saving with none ticked returns You must select a location, and closing the box with none ticked offers to disconnect instead.
  • Ticking more than one merges them. Shifts from every ticked location land in this one venue, and Tip Sheet warns you before you save.

Work Types

This tab decides which Employment Hero work types count as leave. Leave hours are recorded but do not earn tips.

  • Leave the switch off and Tip Sheet uses Employment Hero's own answer: any work type tied to a leave category counts as leave, shown with a Leave tag.
  • Turn Customise Work Types on to decide for yourself. Only the work types you tick count as leave; everything else counts as worked time, including ones Employment Hero ties to a leave category.

Turning the switch on and ticking nothing means no work type is leave. Tip Sheet asks you to confirm that before saving.

Save

Select Save. Tip Sheet confirms with Integration settings saved successfully and the tile switches to Connected. From then on, every shift created, changed, approved, rejected or deleted at your ticked locations arrives as it happens, and tips are recalculated for the day it affects.

Keeping it running

Everything below sits behind the Connected button: the button itself reopens Manage Integration, and the arrow beside it opens the menu.

Bringing in past shifts. Shifts only start arriving from the moment you connect. For what came before, choose Import Data and confirm Import time sheets for last two weeks (pay periods)? That brings in the venue's last two tip periods. It runs in the background — watch the job message at the bottom of the screen, or the notifications bell — and it is recorded in the venue's audit trail. Run it again whenever you change which locations are ticked.

Changing what's included. Use Manage to add or remove locations, or revisit work types, at any time. Changes apply to shifts arriving from then on; Import Data brings existing ones back through the new rules.

Staying connected. The connection keeps itself signed in. If Employment Hero stops accepting it — usually because the approval was withdrawn there — Tip Sheet emails everyone with access to the venue asking you to connect again, and nothing arrives until you do.

Disconnecting. Choose Disconnect and confirm Are you sure? This will impact all automated imports. Employment Hero stops feeding this venue. Timesheets and tips already imported stay exactly where they are.

Connecting again. The same way as the first time: Connect, approve, then choose the business and locations again. You cannot connect over a live connection — disconnect first.

One thing we are still checking

Exactly what is tidied up on Employment Hero's side when you disconnect is being confirmed with our engineers. Either way, disconnecting stops shifts arriving in Tip Sheet.
