FoundU

FoundU is a workforce management system covering onboarding, rostering, time and attendance and payroll. Tip Sheet reads the shifts your staff worked on the FoundU rosters you choose, creates their staff records, and uses those hours to work out each person's share of the tip pool.

What comes across

Shifts — start and end time for every shift on the rosters you pick. A shift missing either a start or an end time is skipped.

Breaks — every break FoundU gives a length for comes across as an unpaid meal break and is taken off tip earning hours. If a break has a length but no start time, Tip Sheet puts it in the middle of the shift so it is still deducted. The exception is a service period you have set to ignore breaks, where breaks are left in the hours on purpose.

Approval — shifts FoundU shows as approved, pre-approved, auto-approved or locked arrive approved. Shifts still at not verified, or submitted by employee and not yet actioned, arrive unapproved and earn no tip points until they are approved in FoundU. A rejected shift arrives as discarded.

Leave — a shift marked on leave, or flagged in FoundU as did not work, is treated as leave. Leave and rejected shifts are both left out of the tip calculation.

Handed-over shifts are skipped — when a shift is given to someone else, FoundU keeps sending the original offer. Tip Sheet ignores it, so the person who never worked the shift doesn't get the hours.

Staff — the first time someone's hours arrive, Tip Sheet creates them from their FoundU record: name, email, mobile and FoundU employee ID. They join the venue as Incoming, so you can check them before they are paid. If the roster name is an exact match for one of the venue's departments, they go into it.

Bank details — account name, account number and BSB, so you can produce ABA payout files without chasing staff. They arrive marked Imported, with the date they came across.

Locations and areas — your FoundU clients show up as locations, with their rosters underneath, so you can pick which ones feed this venue.

FoundU brings hours only. Sales, orders and card tips come from a POS integration.

Before you start

  • Integrations live in the admin view, under a venue's Integrations tab. Without permission to change third-party integrations there, every button on the FoundU card is greyed out.
  • A venue can only have one timesheet integration. If Deputy, Tanda, Roubler or another provider is already connected, Connect is disabled and says "Only one integration is possible at a time." Disconnect that one first.
  • Know your FoundU web address. Tip Sheet wants the part before .foundu.com.au on its own — if your team signs in at https://acme.foundu.com.au, that is acme.
  • Have a FoundU administrator on hand to approve it. Tip Sheet only ever sees the rosters and people that account can see, so use one covering every roster belonging to this venue.
  • Know which FoundU rosters belong to this venue. You pick them right after connecting, and nothing comes across until you do.

There is nothing to collect from FoundU beforehand — no key, no password to copy. You approve Tip Sheet on FoundU's own sign-in screen.

Connecting it

  1. In the admin view, open the venue, then go to its Integrations tab.

  2. Find the FoundU card and choose Connect. The FoundU Domain box opens, with https:// shown before it and .foundu.com.au after it.

  1. Type in the middle part of your address, then choose Connect. Leaving it empty shows "Domain is required."
  1. Tip Sheet sends you over to FoundU. Sign in as an administrator and approve Tip Sheet when FoundU asks.
  1. FoundU brings you back and the connection is saved. Select locations to sync with this venue opens straight away.

  2. Tick the locations and rosters that belong to this venue, then choose Save. See Choose what's included below.

  1. The card now reads Connected, with a menu holding Manage, Import Data and Disconnect.

Choose what's included

Picking locations is what tells Tip Sheet which FoundU hours belong to this venue. Any shift from a roster you have not ticked is ignored.

  • Your FoundU clients are listed as locations. Expand one to see its rosters underneath.
  • Ticking a location ticks all its rosters. Untick the ones that don't belong here — the location then shows as partly selected, and saves that way.
  • Rosters are what matter. A shift only comes across if the roster it was worked on is ticked, so a location with none of its rosters ticked brings in nothing.
  • Tick at least one location. Saving with none shows "You must select a location."
  • Reopen the list any time from the card's Manage option. If you clear every location and close it, Tip Sheet takes that as a request to disconnect and asks you to confirm.

Tick more than one location and Tip Sheet warns their hours will be merged into one venue. That is right when several FoundU locations are one physical venue, and wrong if they are separate venues needing their own tip pools — set those up as separate Tip Sheet venues.

Keeping it running

Day to day. Tip Sheet collects shifts from FoundU once a day, covering the day before plus every tip period still open and unpaid. A late edit or a late approval in FoundU is picked up next time, without you doing anything. Periods already paid out are left alone. Each run replaces the hours it brought in for those dates before, so corrections overwrite rather than double up.

Hours from before you connected. These aren't there yet. Choose Import Data on the FoundU card to fetch the last two pay periods. It runs in the background, so watch the notification at the bottom of the screen and the notification bell rather than the box. To pull one particular period again, open that period's tip sheet in the venue view and choose Import Timesheets — that only works while the period is still open.

Bank details. Each import asks FoundU for the bank details of anyone new to Tip Sheet, or newly attached to this venue, and saves their account name, account number and BSB. For staff already on the venue, go to the staff list in the venue view, select them, and choose Banking → Import Banking Info. Details already sitting at Verified or On file in Tip Sheet are never overwritten by an import.

Staying connected. The connection keeps itself signed in — there is nothing to renew. If Tip Sheet's access is removed in FoundU, or the account that approved it is disabled, imports stop and Tip Sheet emails everyone with access to the venue. You then need to connect again.

Reconnecting. Choose Connect on the card again, enter your web address and approve. Afterwards, check your selections under Manage.

Disconnecting. Disconnect stops all automatic imports for this venue. Shifts, staff and bank details already brought across stay in Tip Sheet, and tip sheets already worked out are unaffected — you simply stop getting new hours. It also frees the venue's one timesheet slot, so you can connect a different provider. The change is recorded in the venue's audit trail.
