Roubler

Roubler is a workforce management platform covering rostering, time and attendance, onboarding and payroll. Tip Sheet reads the hours your staff worked from the Roubler locations you choose, creates their staff records, and uses those hours to work out each person's share of the tip pool.

What comes across

Hours worked — start time, end time and total hours for each shift, from the locations you pick.

Unpaid breaks — only breaks Roubler takes off paid time come across. Paid breaks are left alone, because they are already inside the paid hours.

Approval — shifts Roubler shows as approved, authorised, committed or payrolled arrive approved. A shift still at completed arrives unapproved.

Leave — where a Roubler shift is tied to a leave request, Tip Sheet marks it as leave, so your tip rules can treat it differently.

Staff — the first time someone's hours arrive, Tip Sheet creates them from their Roubler record: name, work email (or their personal one if there is no work email), mobile and Roubler employee ID. They join the venue as Incoming, so you can check them before they are paid.

Bank details — account name, account number and BSB, wherever Roubler holds them, so you can produce ABA payout files without chasing staff. Tip Sheet checks Roubler again weekly for anyone still missing them.

Locations — your Roubler locations, parents and children, so you can pick which ones feed this venue.

Roubler brings hours only. Sales, orders and card tips come from a POS integration.

Before you start

  • Integrations live in the admin view, under a venue's Integrations tab. Without permission to change third-party integrations there, every button on the Roubler card is greyed out.
  • A venue can only have one timesheet integration. If Deputy, Tanda, Humanforce or another provider is already connected, Connect is disabled and says "Only one integration is possible at a time." Disconnect that one first.
  • Have the Roubler sign-in ready. Tip Sheet only ever sees the locations and people that account can see, so use one that covers every site belonging to this venue.
  • Know which Roubler locations belong to this venue. You pick them right after connecting, and nothing comes across until you do.

There is nothing to collect from Roubler beforehand — no key, no password to copy. You approve Tip Sheet on Roubler's own sign-in screen.

Connecting it

  1. In the admin view, open the venue, then go to its Integrations tab.

  2. Find the Roubler card and choose Connect.

  1. Roubler's sign-in page opens. Sign in with the account you prepared and approve Tip Sheet when Roubler asks.
  1. Roubler brings you back and the connection is saved. Select locations to sync with this venue opens straight away.

  2. Tick the locations that belong to this venue, then choose Save. See Choose what's included below.

  1. The card now reads Connected, with a menu holding Manage, Import Data and Disconnect.

Choose what's included

Picking locations is what tells Tip Sheet which Roubler hours belong to this venue. Any shift from a location you have not ticked is ignored.

  • Locations are listed the way they sit in Roubler, with parents and children. Use the arrow beside a location to open or close it.
  • Ticking a parent does not tick its children. Tick every location you want, wherever it sits.
  • Tick at least one location. Saving with none shows "You must select a location."
  • Reopen the list any time from the card's Manage option. If you clear every location and close it, Tip Sheet takes that as a request to disconnect and asks you to confirm.

Tick more than one location and Tip Sheet warns their hours will be merged into one venue. That is right when several Roubler locations are one physical venue, and wrong if they are separate venues needing their own tip pools — set those up as separate Tip Sheet venues.

Keeping it running

Day to day. Tip Sheet checks Roubler about once an hour, covering the last few days plus any tip period still open and unpaid. A late edit or a late approval in Roubler is picked up next time, without you doing anything. Periods already paid out are left alone. Each check replaces the hours it brought in for those dates before, so corrections overwrite rather than double up.

Hours from before you connected. These aren't there yet. Choose Import Data on the Roubler card to fetch the last two pay periods. It runs in the background, so watch the notification at the bottom of the screen and the notification bell rather than the box. To pull one particular period again, open that period's tip sheet in the venue view and choose Import Timesheets — that only works while the period is still open. Once a period has been paid out it can't be re-imported.

Staying connected. The connection keeps itself signed in — there is nothing to renew. If Tip Sheet's access is removed in Roubler, or the account that approved it is deactivated, imports stop and Tip Sheet emails everyone with access to the venue. You then need to connect again.

Reconnecting. Choose Connect on the card again and sign in. The new connection is only set up once the sign-in works, so a reconnect that fails part way leaves your working one alone. The old connection is kept for history. Afterwards, check your selections under Manage.

Disconnecting. Disconnect stops all automatic imports for this venue. Hours, staff and bank details already brought across stay in Tip Sheet, and tip sheets already worked out are unaffected — you simply stop getting new hours. It also frees the venue's one timesheet slot, so you can connect a different provider. The change is recorded in the venue's audit trail.
