Humanforce
Humanforce WFM is a workforce management system that records rosters, clock-ins and timesheets. Tip Sheet reads those timesheets so it knows who worked, when, and in which location and department — the hours it shares tips against. It also creates the staff behind those hours, and can bring across their bank details for payouts.
On the venue's Integrations tab the tile is labelled Human Force.
At a glance
| What it's for | Hours worked |
| How you connect | You paste in three details Humanforce gives you |
| How often it updates | Through the day, in the background, so a shift someone has just finished may take a few hours to appear. You can also pull hours in yourself at any time |
| You will need | Your Humanforce web address, a Client ID and a Client Secret from Humanforce, and permission to change integrations on the venue |
A venue can only have one timesheet integration. If another one is already connected, the Human Force tile's Connect button is greyed out and says Only one integration is possible at a time.
What comes across
- Hours worked — the authorised start and end times for each shift, after Humanforce's own rounding and adjustments, and whether the shift has been authorised.
- Breaks on each shift, paid and unpaid, at their adjusted times.
- Leave. Where the shift type is one Humanforce treats as leave, Tip Sheet marks that shift as leave rather than worked time.
- Staff behind those hours — name, email and mobile — created or updated in Tip Sheet and attached to the venue.
- Bank details — BSB, account number and account name. Tip Sheet only asks for staff who don't already have verified or on-file bank details in Tip Sheet. Imported details show a banking status of Imported, with the date they came across.
- Locations and departments, read when you open the integration's settings so you can choose which of them belong to this venue. Departments appear as areas under each location.
Rosters, pay rates, costs and pay types are not brought across.
Before you start
Get three things from Humanforce. Someone with Humanforce administrator access has to issue them. Following Humanforce's own instructions, that means creating an access level that has API access allowed, creating a user linked to it, then adding a key under Admin → Security Config → API Key Management. Give it a clear name so it is recognisable later, link it to that user, and save. Copy both the API Key and the Secret — Humanforce shows the secret only once, so if it is lost you have to issue a new one. The key needs to be able to read departments, locations, timesheets and employees, and it should be used for Tip Sheet alone rather than shared with other systems.
The third thing is your Humanforce web address — the address you sign in at, for example
yourcompany.humanforce.com. Enter it on its own, without https:// in front and without
anything after it. Tip Sheet adds the rest.
The menu paths above come from Humanforce's own instructions, not from Tip Sheet. If your Humanforce looks different, your Humanforce administrator or account manager is the right person to ask. See Set up a REST API key in Humanforce WFM Web.
In Tip Sheet. Integrations live in the admin view: open Venues, choose the venue, then the Integrations tab. You need permission to change integrations for that venue — without it the tiles are visible but you can't click them. The Integrations tab only applies to frontline venues, and to dependent venues set up to use a timesheet integration.
Connecting it
- In the admin view, go to Venues, select the venue, and open the Integrations tab.
- Under Time Sheet Integration, find the Human Force tile and choose Connect.
- The Human Force API Credentials box opens. Fill in the three fields:
- Domain — your Humanforce web address, for example
yourcompany.humanforce.com. - Client Id — the API Key from Humanforce.
- Client Secret — the Secret from Humanforce. This box hides what you type.
- Domain — your Humanforce web address, for example
- Choose Save. Tip Sheet checks the three details with Humanforce before saving anything, so a wrong address, key or secret is caught here and nothing is stored. If the check fails, the box stays open and shows Error validating humanforce credentials in red underneath — fix the values and save again.
- Once the check passes the connection is saved, Integration Saved appears, and Tip Sheet opens Manage Integration so you can choose what's included. Do that before closing — see the next section.
The tile now shows a green Connected button. Selecting it reopens Manage Integration; the arrow beside it opens a menu with Manage, Import Data and Disconnect.
Choose what's included
Manage Integration is where you decide which parts of your Humanforce organisation belong to this venue.
Locations tab. Every Humanforce location is listed, each opening to show its departments as areas. Tick the locations and areas that belong to this venue, then choose Save. A shift only comes across if both its location and its department are ticked — anything else is ignored.
- Tick at least one location. Saving with none shows You must select a location.
- Tick more than one and Tip Sheet warns that multiple locations will merge timesheets into one venue — save only if that is what you want.
- Close the box with nothing ticked and Tip Sheet offers to disconnect instead, since it has nothing to bring across.
- A Humanforce shift with no department on it can't be matched to an area, so it is skipped.
Shift Types tab. This lists your Humanforce shift types and lets you say which ones Tip Sheet should treat as leave, using the Customise Shift Types switch. Left off, Tip Sheet follows Humanforce's own leave setting, which is what most venues want.
Keeping it running
Day to day. Once locations are chosen, Tip Sheet brings hours across through the day, covering the venue's open tip periods. Each run replaces the hours it brought in for those dates before, so corrections made in Humanforce overwrite rather than double up.
Hours from before you connected. Choose Import Data from the tile's menu. Tip Sheet asks Import time sheets for last two weeks (pay periods)? — confirming fetches the last two pay periods in the background. There is no success message: watch the notification at the bottom of the screen and the notification bell. The action is recorded in the venue's audit trail.
Updating your details. If Humanforce issues a new key, open Manage Integration and choose the cog icon at the top right (Update API Credentials). The Domain and Client Id are filled in already; the Client Secret is never shown back to you, so type it in full again. Tip Sheet re-checks everything with Humanforce before saving.
Saving new details clears the location and area selection for this venue. Tip Sheet reopens Manage Integration straight afterwards for exactly this reason — tick your locations and areas again and choose Save, or the venue stops getting hours.
Reconnecting. If you connect Humanforce again on a venue that already has it, the old connection is only switched off once the new details pass the check, so a mistyped key can never take down a working connection. The old one is kept for history rather than deleted.
Disconnecting. Choose Disconnect from the tile's menu. Tip Sheet warns that this will impact all automated imports, and the change is recorded in the venue's audit trail. Hours and staff already brought across stay in Tip Sheet — only future imports stop. Connecting again later means entering the three details and choosing locations again.
If something looks wrong
| What you see | Why | What to do |
|---|---|---|
| Error validating humanforce credentials when saving | The address, Client ID or Client Secret is wrong, the key has been switched off in Humanforce, or its user isn't allowed API access | Re-check all three. Confirm in Humanforce that the key is active and its user is allowed access. If the secret may have been mistyped, issue a new key and use both new values. |
| The Client Secret box is blank when you reopen it | Expected — Tip Sheet never shows a saved secret back to you | Type it in again. It can't be saved blank. |
| No locations found in Manage Integration | The connection saved, but the key can't read locations, or Humanforce has none set up | Ask your Humanforce administrator to let the key read locations and departments, then reopen the box. |
| Hours missing for some shifts | The shift's location or department isn't ticked, or the shift has no department on it in Humanforce | Open Manage Integration, expand the location and tick the right area. Check the shift has a department in Humanforce. |
| Locations you had ticked are no longer ticked | The connection details were updated, which clears the selection | Tick the locations and areas again and choose Save. |
| Import Data appears to do nothing | It runs in the background, so there's no success message | Watch the notification at the bottom of the screen, or the notification bell. Long date ranges take a while. |
| Connect greyed out on the Human Force tile | Another timesheet integration is already on this venue, or you don't have permission to change integrations | Disconnect that one first, or ask someone with the permission to make the change. |
| Bank details didn't come across for someone | Tip Sheet only asks for staff without verified or on-file bank details, and the Humanforce record needs a BSB and account number | Check their bank details in Humanforce, and their banking status in Tip Sheet. |
