Roles and permissions
Not everyone who uses Tip Sheet should be able to do everything. A supervisor might enter cash tips without ever seeing a bank account number. A venue manager might approve their own venue's week and nothing else. Someone in finance might need every venue's numbers but no say over how tips are split.
Tip Sheet handles that with two separate controls, and it's worth understanding the split before you start granting things — most confusion comes from looking in the wrong one.
The two kinds of access
| Business access | Venue access | |
|---|---|---|
| Controls | The back office: users, venues, reports, pay runs, audit trails, the business profile | What someone can do inside a venue: tips, tip sheets, staff, venue settings |
| Set per | Person | Person and venue |
| Set from | The person's row → Business Permissions | The person's row → expand → the venue's Role |
| Uses roles? | No — ticked individually | Yes — usually a role, sometimes customised |
The important consequence: a role never contains business access. Giving someone the Manager role at four venues doesn't let them see Pay Runs or invite anyone. That comes from Business Permissions, separately.
Three ways a person's venue access gets decided
Every venue a person is assigned to shows one of these:
A system role
Manager or Supervisor. Built in, ready to use, and the same in every business. You can look at them and copy them, but not change them.
Marked SYSTEM in the list
A role you made
Your own named set of permissions — "Assistant Manager", "Finance" — reused across as many people and venues as you like. Change the role, and everyone on it changes.
Shows the role's name
Customised
One person, one venue, permissions ticked by hand. Useful for a genuine one-off, but it belongs to that person only — nobody else inherits it.
Shows CUSTOMISED
If you find yourself ticking the same boxes for the third person, make it a role instead. Roles can be updated once and apply everywhere; customised permissions have to be found and fixed one person at a time. Tip Sheet can even turn someone's customised set into a role for you.
You, the person setting this up
These guides assume you're a business admin — you can see every venue in the business and every section of the admin view. If a screen described here isn't on your menu, you probably don't have that business permission; whoever set up your business can grant it.
Two things always apply, no matter how permissions are set:
- Everyone can see the business name and the list of venues. Those two permissions are ticked and greyed out — they can't be removed, because nothing else would work without them.
- The business owner can't be locked out. Their row has no Disable Access, no Business Permissions and no Delete User, so there's no way to strip the account that owns the business.
