What each permission controls

Every tick box, and what it means in practice. The groups here match the order they appear on screen.

Use this when you're building a role and aren't sure whether a line matters, or when someone asks why they can't do something.

Business permissions

Set per person from their row's menu, under Business Permissions. These control the admin view — nothing here is part of a role.

View business profileSee the business name and details. Always on; can't be removed.
View business venue listSee which venues exist. Always on; can't be removed.
Update Business ProfileChange the business's own details.
Can manage subscriptionsSee and change the Tip Sheet subscription and billing.
Manage users, permissions and rolesInvite people, assign anyone to any venue, and create or delete roles. Effectively lets them grant themselves more access.
Create and update venuesAdd a venue and edit venue records from the admin view.
Access venue reportsOpen the business-wide reports — but only covering the venues they're assigned to.
View audit trailsSee the audit trail for the entire business, including venues they aren't assigned to.
View Pay RunsSee pay runs and what's in them.
Manage Pay RunsCreate pay runs, add and remove periods, lock, process, and produce the bank file.

Venue settings

What someone can change about how a venue is set up. Everything here is felt in the venue view but configured in the admin view.

Manage venue profileEdit the venue's name, address, timezone and bank details.
Manage departments and percentage allocation of tipsAdd or rename departments and change each one's share of the pool.
Can edit Staff Management settingsChange how staff are handled at this venue, including the waiting room.
Can manage Services Periods and Tip Earning HoursSet the service periods, the hours that earn tips, and Custom Hours. Without it the calendar is read-only.
Can manage Tip Allocation settingsChange how tips are divided, including service charge handling.
View 3rd party integrationsSee which POS and timesheet system the venue is connected to.
Manage 3rd party integrationsConnect, reconfigure and disconnect those systems.

Staff management

Who can see and change the people who earn tips.

Can add staff for dependent venueAdd people directly to a dependent venue. Only appears on a dependent venue with no timesheet system connected.
Can see staff bank detailsView the bank details Tip Sheet holds.
Can edit staff bank detailsChange them. Separate from seeing them, so you can grant one without the other.
Can manage onboardingSend and cancel the invitations that ask staff to enter their own bank details, and import banking information.
Can edit staff department, role and tip pointsChange what someone earns a share as.
Can edit staff personal information, name, phone and emailChange a staff member's contact details.
Can edit staff statusMove people between active and inactive.
Can activate staff in waiting room ahead of scheduleBring an incoming staff member into the pool before their waiting period is up.

Tip sheet

The most consequential group — this is where money is decided and approved.

Can unlock tip periodReopen a locked period. Worth granting sparingly — it reopens numbers people may already have been told about.

Three to think hardest about

Can edit staff daily tip totals lets someone type over what the calculation produced. Can unlock tip period lets them reopen an approved period. Can download aba file puts the payment file in their hands. Each is reasonable for a trusted venue manager and worth a second thought for anyone else.

Tip collections

What someone can do with the tips as they come in, before they're divided.

Can re-assign system allocated tips to alternate service periodsMove a tip into a different service period from the one it landed in.
Can enter and edit cash tips collectedRecord cash tips. Usually the one permission a supervisor genuinely needs.
Can assign un-allocated tips to service periodsPlace tips that arrived without a service period.
Can download CSV of Tip Collections and allocationsExport the raw collections and how they were allocated.

Why something is greyed out

If a control is visible but won't respond, it's almost always one of these:

  • You don't have the permission at that venue. Check your row on the Users tab.
  • The period is locked or paid. Locking freezes the figures on purpose; unlocking needs its own permission.
  • It's a business permission, not a venue one. Pay runs, reports and audit trails aren't in any role — see Give someone access.
  • It doesn't apply to this venue. Dependent venues have no POS, so tip collection works differently there.
