Create a venue

Venues are added in the admin view. Open Venues and choose Add Venue, top right. If the button isn't there, your role doesn't include Create and update venues; ask whoever manages users in your business.

A page headed New venue opens, empty. Fill it in from the top, then choose Create venue in the bar at the bottom. Nothing is saved until you do. If you leave before then, Tip Sheet asks first: Leave without saving?, with Keep editing or Leave without saving.

The New venue page: Kind of venue with Frontline venue chosen, the Details section with Logo, Venue name, Timezone and the address, and Cancel and Create venue in the bar at the bottom1. Choose the kind2. Then Create venue

A frontline venue needs only these two sections. Its tip rules, timings and connections come after it's created.

1. Kind of venue

Choose Frontline venue or Dependent venue. If you haven't decided, read Frontline and dependent venues first. The choice can't be changed afterwards.

Frontline first

A dependent venue takes its share from a frontline venue, so Dependent venue stays greyed out until the business has one.

2. Details

  • Logo: drop an image on the box, or click it to choose one. PNG, JPG or SVG, up to 2 MB. A frontline venue needs one.
  • Venue name, as staff know it. It heads their payout reports, and it must be different from every other venue in the business.
  • The address: Street address, Unit, shop or level (optional), Suburb, State, Postcode and Country.
  • Timezone fills in from the address and says From the address. Change it only if it's wrong.
The timezone decides which day a tip belongs to

Each day and tip period starts at midnight in the venue's timezone. If it's wrong, late tips and shifts land on the wrong day. Check it before you create the venue.

Dependent venues: three more sections

A dependent venue's page carries on below Details.

The rest of a new dependent venue's page: Where its tips come from, How its tips are worked out and Paying tips, each as choice cards

3. Where its tips come from

  • How does it take its share? A percentage of each day's tips at each frontline venue, or A dollar amount, fixed each pay period.
  • From which frontline venues: tick each one it takes from, and enter its figure beside it. A percentage can't be more than 100.

You can change these later on its Tip Rules tab. See Dependent venue settings.

4. How its tips are worked out

  • Where do its staff's hours come from? A timesheet system, or No timesheets. You connect the system itself afterwards, on the venue's Integrations tab. With no timesheets, staff share by their tip points, or a multiplier such as shifts, and tips are worked out weekly.
  • How often are its tips worked out? Timesheet venues only. Daily works out each day's share from who worked that day; Weekly works out the week's share from who worked across the week.
You can't change these later

Both answers are fixed once the venue is created. If you're not sure, stop here and ask.

5. Paying tips

Does this venue pay out tips to staff? It starts at Yes, paid Another way: Tip Sheet works out everyone's share, and you pay it however you do today. Choose With a bank file to have Tip Sheet make the payments, or No to hold the tips back instead. You can change this later on its profile. See Paying tips.

Create it

Choose Create venue. If something is missing, the field is outlined in red and the bar says Fix the highlighted field to create it.

The venue opens on its Venue Profile tab, with Next steps at the top. Each button takes you to the place it's set.

Next steps on a new frontline venue: Connect its POS and timesheets, Check its tip rules, Set its service times and Set how it pays tips, each with a button

A new frontline venue's tip rules and timings start at the usual settings, so check them before its first week. The card stays at the top until you go somewhere else.

After creating the venue

Work through Setting up venues: profile, tip rules and timings, integrations, then the payout email. Staff arriving from your timesheet system land in the departments you've created, so it pays to have those right before you connect anything.
