Audit trails

Tip Sheet keeps a record of who changed what, and when. You can see it in three places.

WhereWhat it shows
Audit Trails, in the admin view's menuEverything, across the whole business
A staff member's User Logs tabChanges to that person's record
A pay run's Audit Trail tabWhat has happened to that pay run

Nobody can edit or delete an entry, and there's no download.

The Audit Trails page

The Audit Trails page: a search box and Filters above a list of changes, newest first, with When, Action, By, Via, Venue and Description columnsSearch by personFilters

Newest first, 50 to a page. The count at the top right says how many entries match. The arrows at the bottom go further back.

ColumnWhat it shows
WhenWhen it happened.
ActionWhat kind of change it was. See What the actions mean.
ByWho did it. System means nobody signed in to Tip Sheet did it, for example a staff member opening their payout email.
ViaHow the change was made. See Via.
VenueThe venue it happened at. Blank for changes that aren't about one venue.
DescriptionThe detail, such as the week, the staff member or the setting.

Where a status change is recorded, the description shows the status as Tip Sheet stores it: Master means Active.

Find something

  • Search by person finds changes made by one person, by the name in By. It doesn't find the staff member a change was about. For that, use their User Logs, or pick an action and read the descriptions.
  • Filters opens a panel with Dates, Via and Action. Choose Apply to use them. A number beside Filters says how many are narrowing the list. Clear filters empties them, and Cancel closes the panel.
The Filter by panel: Dates, Via and Action, with the Via list open showing Tip Sheet Assistant, Tip Sheet and System
FilterWhat it does
DatesThe first and last day. Pick the same day twice to see one day. The last day is included.
ViaOnly changes made one way. See Via.
ActionOne kind of change. Type in the box at the top of the list to find it. The × clears it.
Days start in the late morning

Dates counts a day from about 10 or 11 in the morning, Sydney time, not from midnight. If a change from early in the morning is missing, widen the range by a day.

Via: how a change was made

ValueIt means
Tip SheetSomeone made the change on screen, in the usual way.
Tip Sheet AssistantThe change was made through the Tip Sheet Assistant, after the person confirmed it. It shows as a tag.
SystemTip Sheet did it, not a person.

Entries from before the column existed have nothing in Via.

When you ask the Tip Sheet Assistant to make a change and confirm it, the entry is still recorded against you, the person who confirmed it, in By, so it counts as your change like any other. To see everything the assistant has done, set Via to Tip Sheet Assistant. If it hasn't made any changes, the page says Nothing matches.

Staff opening their emails

Each time a staff member opens their payout summary, Tip Sheet records it under Payout report accessed., with System in By and Via, and the internet address it was opened from.

One Payout report accessed. entry, by System, with Via set to System

Useful when someone says they never got their email: if it's here, they opened it.

What the actions mean

The names in the Action list are exactly as the screen shows them, including the odd full stop.

Venue settings update covers any change on a venue's settings: service periods, tip allocation, staff settings, the payout email, custom hours and so on. The description says which.

A staff member's User Logs

Open a staff member's details in the venue view and choose User Logs. It lists changes to that person's record: their details, status, department and tip points, and each time they opened a payout email. See A staff member's details.

It doesn't show bank details invitations or anything the staff member changed themselves. For those, use the Audit Trails page with Action set to Update an employee.

A pay run's Audit Trail tab

Open a pay run and choose Audit Trail. It lists what has happened to that pay run: created, weeks added or removed, locked, unlocked, bank files, emails and processed. The columns are When, What, Who, Via and Details. There are no filters.

Tips pushed to Tanda or Humanforce are on the Audit Trails page, under Pushed Tips to Payroll and Pay Run Pushed Tips to Payroll. See Pay Runs.
