Staff Management
Staff Management is the list of people who earn tips at the venue you have selected. It lives in the venue view, in the menu down the left.

One row per person: their department, their tip points and where their bank details stand.
Being on this list is what puts someone on the tip sheet. It does not give them a login. People who sign in to Tip Sheet are managed separately, in the admin view: see Give someone access.
How people get onto the list
It depends on whether the venue has a timesheet system connected.
| Venue | Where new people come from |
|---|---|
| A frontline venue, or a dependent venue that uses a timesheet system | The timesheet system. The first time someone works a shift, they appear on the Incoming tab. You can't add people by hand, so if someone is missing, check they are set up in the timesheet system. |
| A dependent venue with no timesheet system | You add them yourself with Add Staff, one at a time or from a spreadsheet. See Add staff by hand. |
Tip Sheet takes a person's name, email and phone number from the timesheet system once, when they first arrive. Changes made there later don't flow through, so update them here as well.
The tabs
Everyone on the list has a status, and each status has its own tab. The number beside a tab is how many people are on it.
| Tab | Who is on it | Do they earn tips? |
|---|---|---|
| Active | Approved and on the tip sheet. | Yes, from their activation date. |
| Incoming | New arrivals from the timesheet system that nobody has checked yet. The number turns orange while anyone is waiting. | No. |
| Waiting Room | People serving a waiting period before they start earning. Only shows if the venue uses a waiting room. | No, until they become Active. |
| Inactive | People who have left, or who were declined. | No. |
Moving someone from Incoming is always a job for a person. Tip Sheet never does it on its own, and a yellow message on the tab says how many people earn nothing until you do. That makes Incoming the tab to check every week: see Approve new starters.
Tip Sheet ignores shifts worked by anyone who isn't Active, and their share goes to everyone else in the pool. If a new starter is still sitting in Incoming when the week is locked, they get nothing for that week. The tip sheet shows a yellow message saying how many people this affects, and Tip Sheet warns you about them again when you lock.
Reading the list
- Staff name, with their job title underneath if they have one. The name opens their profile: see A staff member's details.
- A red ! beside the name means the person has no email address or no mobile number. Point at it to see which. They'll need both before you can ask them for their bank details.
- Department and Tip points: what they earn a share as. A department that has been deleted shows (inactive) after its name. Anything blank says Not set.
- Banking: where their bank details stand, such as Missing, On File or Verified. Point at Imported to see which system they came from, and when. See Bank details.
- At a dependent venue that uses a multiplier, one more column shows each person's multiplier. It takes the name the venue gives it, such as Days.

Chris Hemsworth and Morgan Freeman are missing an email or a mobile number. Johnny Depp has no bank details, which will hold up the bank file.
Finding people
Type in Search by name or job title to narrow the tab as you type. Filters narrows it by department, tip points or banking status: choose Apply to use them. While any are on, the Filters button turns blue and shows how many. Clear filters shows everyone again straight away.

- Tip points only appears on the Active tab. Choose a comparison, such as At least, then the number of points.
- Banking status includes Onboarding, which finds people who have been sent the bank details invitation and haven't answered yet.
The row menu
The ⋮ at the end of each row on the Active and Inactive tabs has three options.

| Option | What it does |
|---|---|
| Full Profile | Opens their details, the same as choosing their name. See A staff member's details. |
| Import Banking Info | Fetches their bank details from your timesheet system again, after you confirm. See Bank details. |
| Mark As Inactive (or Mark As Active on the Inactive tab) | Moves the person between the two tabs, after you confirm. |
The row menus are greyed out while any tick boxes are ticked. Untick everything to use them again, or use Bulk Actions to act on everyone you've ticked.
When someone leaves
Open the row menu and choose Mark As Inactive. Tip Sheet asks you to confirm: choose Mark As Inactive again.

They move to the Inactive tab, and they keep their history: past tip sheets, payments and bank details stay as they were. If they come back, Mark As Active on the Inactive tab brings them back with their old activation date.
Changing someone's status makes Tip Sheet recalculate every recent week that isn't locked yet. An Inactive person earns nothing in those weeks, so if you mark someone Inactive before their final week is locked, their tips for that week go to everyone else. Lock the week they last worked, then mark them Inactive.
Leaving someone Active after they've gone does no harm to the tips: with no shifts, they earn nothing. Marking them Inactive just keeps the list tidy.
Exporting the list
Options, at the right of the list, has Export Excel, and Export Excel (+ Bank Details) for people allowed to see bank details.

The file always covers everyone at the venue, on every tab, whatever tab, search or filter you have on screen. It has each person's name, department, tip points, status, phone and email, and the bank details version adds account name, account number and BSB.
Who can do what
Anyone with access to the venue can see Staff Management. Changing it needs the staff permissions in their role: status, tip points and departments, contact details, bank details, the bank details invitation, and the waiting room are each separate. See What each permission controls. If an option is missing or greyed out for you, that's usually why.
