Tip Sheet

The Tip Sheet shows what each person at the venue earns for the week. It's worked out from the tips in Tip Collection and the shifts from your timesheet system. It lives in the venue view, in the menu down the left.

While the week is In progress, Tip Sheet recalculates it as tips and shifts come in, and you can still correct it. Once you lock it, the figures are fixed and you can pay them out.

The Tip Sheet for one week: a yellow warning about someone who isn't active, the search box, Filters, Last calculated, the In progress status button, and a column for each day

The tip sheet in the daily view. The button at the top right of the sheet shows the week's status, and opens everything you can do with the week.

The weekly routine is on The weekly payout, step by step.

Choose the week

The dates at the top right pick the week, just as on Tip Collection. The colours mean the same: light blue is in progress, grey is locked, and no colour is paid. A padlock beside the dates means the week on screen is locked, and a green tick means it's paid. See Choose the week.

The status button

The button at the top right of the sheet shows where the week is up to: In progress, Locked or Paid. Select it to open the week's menu.

  • At the top, under This week, is the week's next step: Lock, then Mark as Paid or Unlock, then Revert to Locked. See Lock, pay and unlock a week.
  • Below that is everything else you can do with the week: add someone, import timesheets, download the figures, pay the week and send payout emails.

The menu on a week in progress. Some greyed-out options say why underneath, such as "Lock this tip sheet first".

If a greyed-out option has no reason under it, your role doesn't include it. A green tick beside an option means it's already been done for this week; point at it to see when, and by whom.

Daily or weekly

Every venue works out tips either day by day or for the whole week. The line under the heading says which: Daily View or Weekly View. You can't switch between them on this screen. It's a venue setting, in the admin view: see Tip Calculation Method.

DailyWeekly
How tips are sharedEach day's tips go to the people who worked that day, in the service they worked. The week's tips go into one pool, shared by department, then by each person's hours and tip points across the week.
What you seeOne column per day, and a total for the week. One row per person for the whole week.

A week keeps the layout it was calculated with. If a venue changes from daily to weekly, older weeks still show the daily view.

The daily view

One row per person, one column per day, and Period Totals at the end. The Tips summary row at the top is what the venue shares out each day.

The top of a daily tip sheet: the Tips summary row, two people's amounts, and Unapproved Timesheet on Friday for a third. Saturday and Sunday are marked Custom hours

Cameron Diaz's Friday shift isn't approved yet, so he earns nothing that day. The weekend uses custom hours.

  • A - means the person didn't work that day.
  • Unapproved Timesheet in red means the shift hasn't been approved in your timesheet system. The person earns nothing for that day, and their share goes to everyone else who worked. Approve the shift where you roster, then import it: see Missing staff and late shift changes.
  • A Custom hours tag under a date means that day uses different service times, such as a public holiday. The tag is in the colour chosen for those custom hours. See Custom Hours.
  • An amount in orange has been changed by hand. Point at it to see the note, and open the row to see what changed. See Correct a tip sheet.

An orange amount with the note: Changed by hand. Open the row to see what changed.

Select a person's name to see how their amount was worked out.

RowWhat it shows
DeptThe department they worked in that day.
HoursTheir hours that day, then the hours in each service period, such as Lunch and Dinner.
PointsTheir tip points that day.
$TipsWhat they earn that day.

Within each service, a person's share depends on their hours and their tip points, compared with everyone else in their department.

The weekly view

The Tip Sheet in the weekly view: one row per person with department, tip points, hours and tips earned, and a pencil at the end of each row

The week in one row each. Tips summary shows the week's total at the top.

Each person's Hours are their total for the week, and Tips Earned is their share of the week's pool. If someone's department or tip points changed during the week, the cell says multiple. Unapproved Timesheet works as it does in the daily view, but for the whole week.

Frontline and dependent venues

A frontline venue shares out the tips it collects. If it passes a share to a dependent venue, such as a shared kitchen, that share comes off the top before staff are paid.

To see it, select Tips summary. It opens only when the venue passes a share on, and works the same way in the daily and weekly views.

Tips summary opened in the daily view: Total Incoming, then Deductions for the dependent venue with its percentage

Total Incoming is everything collected. Each dependent venue's share is in brackets. Tips summary is what's left for staff.

The same figures in the weekly view, for a venue that passes a share to two dependent venues

The share is set in the dependent venue's settings, not here.

A day with tips but no one to share them

If Tip Collection shows tips for a day, but the Tips summary on the tip sheet shows $0.00 for it, nobody on the sheet has hours that day. Those tips aren't paid to anyone. It usually means shifts haven't come through from your timesheet system. Import timesheets before you lock: see Missing staff and late shift changes.

When someone worked but isn't on the sheet

A yellow banner above the sheet says N people worked this week but aren't active, so they earn nothing. Choose See details to see who. See Someone worked but isn't on the sheet.

Narrow the list

  • Search finds people by name.

  • Filters shows only part of the sheet:

    • Departments: one or more departments. All departments shows everyone.
    • Total tips earned: for example At least $100.
    • Tip points: for example Exactly 4.

Choose Apply to use them. Clear filters empties the boxes; choose Apply after it to show everyone again. While a filter is on, the Filters button shows how many.

The Filters box: Departments, Total tips earned and Tip points, with Clear filters, Cancel and Apply

These only change what you see, and the spreadsheet downloads follow them. The bank file is different: a department filter pays only that department, and the other two filters stop the file downloading at all. See Pay tips out.

When it was last worked out

Last calculated shows when Tip Sheet last recalculated the week. It happens on its own whenever tips, shifts or your changes come in. Your screen updates by itself; there's no need to reload.

Tip Sheet stops recalculating a week on its own once it's more than 30 days old. For those weeks, a round arrow appears beside Last calculated (Recalculate this week's tips). Select it to recalculate by hand.

If updates stop

If a banner at the top of the screen says Live updates have stopped, choose Refresh. Until you do, new shifts and recalculations may not show.

Hide a week

Hide period, in the status button's menu, hides the week from anyone whose role doesn't include Can view Hidden tip periods. A Hidden tag then shows beside the status button. It doesn't change any amounts, and Unhide period brings the week back. It isn't a status: a hidden week can still be in progress, locked or paid.

Who can do what

Anyone with access to the venue can see the tip sheet. Changing, locking and paying need the matching tip sheet permissions in their role. See What each permission controls.
