Approve new starters
When someone works their first shift, your timesheet system sends them to Tip Sheet and they land on the Incoming tab of Staff Management. They earn nothing while they're there. Tip Sheet never approves them for you, so check this tab every week, before you lock.
At a dependent venue without one, you add people yourself and there is no Incoming tab. See Add staff by hand.
Check the Incoming tab
The number beside Incoming turns orange when people are waiting for you, and a yellow message says how many of them earn nothing until you configure them.
ConfigureEach new starter has two choices: Configure to approve them, Decline if they shouldn't share in tips.
Configure them
Choose Configure. Their details open, ready to edit.

- Department. Tip Sheet fills this in when the area name in your timesheet system matches one of the venue's departments exactly. Otherwise it's blank. Check it either way.
- Tip point. Often blank for a new arrival. Pick from the venue's range.
- Status. Choose Active, or Waiting if the venue uses a waiting room (below).
- Activation date. They earn tips from this date. It starts as the day of their first shift, so they're paid for every shift they've worked. Choose a later date if their early shifts shouldn't count, such as a trial shift. It can't be earlier than their first shift.
- Check their Email address and Phone number while you're here. You need both to ask them for their bank details.
- Choose Save changes at the bottom of the page. Tip Sheet asks you to confirm the change of status, because it recalculates every week that isn't locked yet so the new person gets their share. Choose Save changes again.
They move to the Active tab, and their shifts from the activation date onwards now earn tips. Then ask them for their bank details: see Bank details.
Cancel leaves everything as it was and opens their profile instead.
If a batch of people started together, tick them on the Incoming tab and use Bulk Actions to set their department and tip points, then their status. Setting people Active this way gives them an activation date of their first shift. Everyone must have a department first.
Decline someone
Choose Decline for anyone who works shifts but shouldn't share in tips, such as a salaried manager.
Decline acts straight away, with no confirmation. The person moves to the Inactive tab. If you declined someone by mistake, open the Inactive tab and choose Mark As Active from their row menu. Check their department, tip points and activation date afterwards.
The waiting room
A waiting room makes new starters serve a set number of days before they share in tips. A venue either has one or doesn't. It's switched on in the admin view, on the venue's Tip Rules tab under Staff Settings: Activate Waiting Room, then the number of days to wait. See Tip Rules.
Tip Sheet recommends switching the waiting room on only after you've brought in and configured your existing staff. Otherwise everyone already working there has to wait too.
When the venue has a waiting room:
- Configure offers Waiting instead of Active in the Status list.
- A Waiting Room tab appears between Incoming and Inactive. Days to auto approve counts down to each person's activation date, as N days left.
- When the count reaches zero, Tip Sheet moves them to Active overnight on its own. They earn from their activation date.
- Approve Now, on their row, skips the rest of the wait. Tip Sheet asks you to confirm: choose Approve Now again. They become Active and earn from today, not from their first shift.
Tip Sheet sets the activation date when a person arrives: their first shift plus the waiting days. If they sat on the Incoming tab for a while, some or all of the wait may already be over, and they'll show 0 days left and become Active that night. To make them wait longer, choose a later Activation date when you configure them.
Someone must have a department before they can be moved to Waiting. Bringing people in early with Approve Now needs its own permission, Can activate staff in waiting room ahead of schedule.
If a new starter isn't on the list
Check these in order:
- Have they worked a shift yet? People only arrive after their first shift reaches Tip Sheet.
- Is the shift in your timesheet system, at this venue? Tip Sheet only sees shifts in the locations connected to the venue.
- Are they on the Inactive tab? Someone may have declined them. Search for their name there.
