Custom permissions for one person

Sometimes a role is nearly right. Your assistant manager at one venue should do everything a Manager does, except unlock a week that's already been approved. Rather than inventing a role for one person, you can adjust their permissions at that venue alone.

Nobody else is affected, at that venue or any other.

Adjust someone's permissions

In the admin view, choose Users, then the person's name. On the Venue access tab, choose Permissions beside the venue you want to change. This is the same page as choosing their venues and roles.

A panel opens with their role's permissions already ticked, so you're adjusting rather than starting over. Tick and untick whatever you need. Each one you change is marked changed, and the top of the panel counts them.

Here Asst Managers has had "Can edit staff bank details" taken away. The panel reads "Asst Managers, with 1 change".

Choose Done to close the panel, then Save changes at the foot of the page. Nothing is stored until you save. Discard throws the changes away.

Before you save, the row says how far it now differs from the role: "1 change from Asst Managers".

The list matches the venue

You won't see the same permissions at every venue. Can add staff for dependent venue only appears on a dependent venue that has no timesheet system connected, because there's nowhere else it could apply.

What "Customised" means

Once saved, the venue no longer follows a role. Its Role reads Customised, with Chosen for them, not from a role underneath, and the Users list shows Customised beside that venue.

That venue is no longer connected to the role it came from. If you later change the Manager role, this person won't pick up the change at this venue: they have their own set now. That's the trade-off, and it's the reason to keep customised venues rare.

Putting it back

Pick a role from Role again. The ticks reset to exactly what that role allows, and the venue follows the role from then on. Choose Save changes.

Turn a customised set into a role

If the adjustment would suit other people too, don't repeat it by hand. In the Permissions panel, choose Save as a new role. Give it a Role name and, if you like, a Description (optional), then choose Save role.

The role is created straight away and appears on the Roles tab, ready to hand to anyone else. This person's venue switches to the new role, but as with everything on their page, that only sticks once you choose Save changes.

The tidy way out of a mess

If you've customised half a dozen people the same way, build the role once with Save as a new role, then switch each of them onto it. After that, one change to the role updates everyone, which is exactly what customised venues can't do.
