Roles
A role is a named set of venue permissions you can hand to as many people as you like. Change the role later and everyone holding it changes with it, which is the whole reason to use one.
Find them in the admin view: choose Users from the menu on the left, then the Roles tab.
1. The Roles tab2. Build a new oneManager and Supervisor are made by Tip Sheet and carry a padlock. The rest were made by this business.
Each row shows:
| Column | What it tells you |
|---|---|
| Role | Its name, and its description if it has one. |
| Made by | Tip Sheet for Manager and Supervisor, otherwise your business. |
| People | How many people have it. |
| What it can do | How many of the venue permissions it allows, such as 27 of 33. |
A role never includes back-office access. See Give someone access for that.
The two built-in roles
Manager is for someone who runs a venue day to day. It grants nearly everything at that venue: the settings, the staff, the tip sheet and the tip collections.
Supervisor is deliberately narrow: a shift leader who helps with the daily numbers but has no say over how the venue is set up.
Here's Supervisor in full. Seven permissions, and nothing else:
| Supervisor can | |
|---|---|
| See staff bank details | (see, not change) |
| Edit staff department, role and tip points | |
| Edit staff personal information | name, phone, email |
| Edit staff status | |
| Lock a tip period | but not unlock it |
| Enter and edit cash tips | |
| Assign un-allocated tips to service periods |
Manager is easier to describe by what it leaves out. It includes every venue permission except these six:
| Manager cannot | Why it matters |
|---|---|
| Mark a tip period as Paid | Confirming money has gone out stays with the back office |
| Mark a tip period as Unpaid | As above, in reverse |
| View hidden tip periods | |
| Mark tip periods as hidden | |
| Download the CSV of tip collections | They can still export the tip sheet itself |
| Add staff to a dependent venue | Only relevant at dependent venues anyway |
Note what Manager does include: unlocking a week, editing everyone's hours and tip totals, seeing and editing bank details, and downloading the bank file. It is a lot of trust. If that's more than you want to hand over, duplicate it and cut it down.
Manager and Supervisor are marked View only. Their page says "You can't edit this role, but you can duplicate it as your own." They're the same in every business, so nobody can quietly redefine what "Manager" means.
See exactly what a role includes
Choose a role's name, or Open from the menu at the end of its row. On its page, choose Permissions (View permissions on Manager and Supervisor). A panel lists every permission, grouped the way the product is laid out.

The Manager role in full. Greyed-out lines are what it doesn't allow.
What each permission controls explains any line you're unsure about.
A role's page
Change what it allowsDuplicate or deleteA role your business made. Who has it lists everyone on it, and where.
A role you made has its Role name and Description (optional) at the top, then Permissions. Like a person's page, it is the form: change anything, then choose Save changes on the bar at the foot. Leaving first asks Leave without saving?.
Changing a role changes it for everyone already on it, at every venue, straight away. The page tells you how many people that is, and Who has it shows who they are. To move someone onto a different role, open their page from that list.
Build a role of your own
Start from an existing role
Usually the fastest route. Open the menu at the end of the closest role's row (Manager and Supervisor included) and choose Duplicate as a new role.

A new role page opens with that role's permissions, named Copy of ‹role›. Nothing is created yet. Give it its own name, change what it allows, and choose Create role.
Start from nothing
Choose Create Role. The Create a role page asks for a Role name and a Description (optional). Choose Permissions and tick what someone with this role can do at a venue, then choose Create role. Cancel leaves without creating anything.
Delete a role
Open the role's menu and choose Delete role. Tip Sheet asks you to confirm.
A role someone still has can't be deleted, so Delete role isn't on its menu. On its page, Delete is greyed out and says why, for example "5 people have this role. Give them another role on their page, then delete it." Move those people onto another role first.
That's a deliberate safety net: nobody loses access overnight because a role was tidied away. Manager and Supervisor can never be deleted.
