Give someone access
Adding a person takes two decisions: which venues they work with, and how much of the back office they need. You make both when you invite them, and you can change either later.
Adding someone here gives them a login. It does not put them on a tip sheet or pay them anything. People who earn tips live in the venue view under Staff Management. See Venue and admin views.
Find the Users screen
In the admin view, choose Users from the menu down the left. The page is headed Users and opens on its Users tab.
1. Choose Users2. Invite UserEveryone who can sign in to manage this business. Access sums up what each person can reach. A Business admin reads "Every venue and setting".
Each person has a status:
| Status | Means |
|---|---|
| Active | They have accepted the invite and can sign in. |
| Invite sent | They've been invited but haven't set up their login yet. |
The search box above the list finds someone by name or email. The Roles tab beside Users is covered in Roles.
Invite them
Choose Invite User. The Invite a user page opens.
More venuesThen Send inviteThe name at the top fills in as you type. Nothing is sent until you choose Send invite.
- Who are you inviting? Choose Someone new, or Someone on staff if they already earn tips at one of your venues and now need a login too. Someone on staff gives you a Staff member list of people on a venue's staff who don't have a Tip Sheet account yet.
- Name and Email. The invite goes to this email address, so check it.
- Leave Business admin off unless they should have everything. See below.
- On the Venue access tab, choose a Venue and a Role. Add a venue adds another row.
- If they need any back office, tick it on the Business permissions tab.
- Choose Send invite. Cancel leaves without sending anything.
They appear in the list as Invite sent until they accept and set up how they sign in. If the email goes astray, choose Resend invite from the menu on their row.
Choose their venues and roles
Choose a person's name on the list, or Open from the menu at the end of their row. Their page is the form: there's no Edit button, you change things in place.
Change the roleA user's page. The Venue access tab has a row for each venue, each with its own role. The same person can be a Manager at one venue and something much narrower at another.
On the Venue access tab you can:
-
Change a role. Pick a different one from Role. Your own roles come first, then Manager and Supervisor.

-
Give them another venue. Choose Add a venue, then pick the venue and a role.
-
Take a venue away. Choose the bin at the end of its row.
-
Change one permission at one venue. Choose Permissions beside the venue. See Custom permissions.
You can also correct their Name and Email here. Changing the email doesn't change the address they sign in with.
As soon as you change anything, a bar appears at the foot of the page: Unsaved changes to ‹name›, with Discard and Save changes. Nothing is stored until you choose Save changes. If you try to leave first, Tip Sheet asks:

Keep editing takes you back to the page. Leave without saving throws the changes away.
Venue access has no "everything" option short of Business admin. Someone who looks after six venues needs six rows. That's deliberate: it lets a manager approve their own venue's week without touching anyone else's.
Decide how much back office they get
Roles say nothing about the admin view. That's set separately for each person, in one of two ways.
The Business admin switch, near the top of their page, gives them every venue, every setting and every business permission, including managing users. It's the right answer for a business partner or an operations manager, and the wrong one for most other people. While it's on, the Venue access and Business permissions tabs are greyed out, because there's nothing left to choose.
Otherwise, the Business permissions tab lets you tick what they need.

View business profile and View business venue list are always ticked. Everyone needs them.
Three of them carry a small icon. Hover it to read the warning:
| Permission | What the icon says |
|---|---|
| Manage users, permissions and roles | "Lets them give anyone any venue, and create and delete the business's roles." In practice they can give themselves more access. |
| View audit trails | "Covers the whole business, including venues they aren't assigned to." It's the one that most often grants more than people expect. |
| Access venue reports | "Only for the venues they're assigned to." Narrower than it sounds. |
Choose Save changes when you're done.
Managing access afterwards
The menu at the end of someone's row covers the rest.

An invited person's menu. Resend invite only appears while their status is Invite sent.
| Option | What it does |
|---|---|
| Open | Their page, as above. |
| Resend invite | Sends the invitation again. Only while they're Invite sent. |
| Remove from ‹your business› | They can no longer manage this business or its venues. Their Tip Sheet login stays, along with any other business they belong to. If they also work at a venue, they stay on its staff. |
The same Remove is on their page, under the Business admin switch.
A few things can't be changed, so a business never locks itself out:
- You can't change your own access or remove yourself. Your own row only offers Open. Another Business admin can do it for you.
- The person who set up the business always stays a Business admin.
- The only Business admin stays one until you make someone else a Business admin.
Passwords and two-step verification
You can't reset another person's password or their two-step verification from here.
- Forgotten password. They choose Forgot your password? on the sign-in screen and follow the email.
- Lost phone or authenticator app. If they set up a second method, they sign in with that. Otherwise they contact Tip Sheet support, who can clear the old method so they can set up again.
See Your login and security for what each person can do about their own login.
